The Reservation Specialist is responsible for receiving inbound service calls and identifying the Customer need as to (1) service appointment, (2) vehicle status, (3) speaking to a Service Advisor/ASM or (4) general information and meeting that need. The Reservation Specialist will also perform outbound calls at the direction of the Business Development Manager such as: Service Appointment Confirmation and No-Show calls, Vehicle Status calls, After-Service Follow-up, Service Reminders, Special Order Parts, etc.
Receive inbound calls for service appointment making using an "Hours to Sell" approach.
Receive inbound calls for Vehicle Status when the Service Advisor/Assistant Service Manager (ASM) is not asked for or is not available to provide vehicle status.
Make outbound calls to existing Customers for service appointment confirmation, Vehicle Status and After-Service Follow-up, or other special programs as directed by the BDM
Maintain a friendly and efficient manner while answering Customer questions and providing general or related vehicle service information
Maintain product knowledge sufficient to address Customer needs for service.
Set service appointment date and time for the Customer to meet with their Service Advisor/ASM to discuss the service needs for their vehicle
Capture and track all Customer data as directed by Business Development Manager (BDM)
Handle all Customer contacts with focus on Customer care and satisfaction
Use detailed scripts as provided by the Dealership to handle Customer concerns and to met Dealership and BDC objectives
Work in close proximity with other Reservation Specialists in a team-based atmosphere
Follow-up in a timely manner on all Internet leads (appointment request) as directed by BDM and Dealership policy or process
Adhere to Dealership policy regarding the National Do Not Call List and Privacy Act
High School diploma or equivalent. Ability to comprehend written and verbal instructions. A background in retail or inside sales. Professional personal appearance. Excellent Customer and communications skills. Computer literate.
The Reservation Specialist will work in a Call Center environment with telephone, computer, and related resources. The Reservation Specialist will not generally interface with other departments except by telephone or e-mail due to proprietary nature of prospect/Customer information used. The Reservation Specialist may be asked to use a headset. Evening, weekend, and holiday hours may be required at management direction.
